XYPN Operating System | Your 5-Year Plan

WHY WE CREATE A FIVE-YEAR PLAN

Establishing a clear picture of your firm's desired state in five years is essential for reaching your goals. Consider planning a road trip: you fuel up, grab essentials like sunglasses, water, and snacks, and turn on your favorite podcast before hitting the highway. But then what? Are you heading north or south? Do you need to use local streets? Without a chosen destination, there's no way to know.

While on your journey, you may encounter diversions to navigate construction or traffic, but you wouldn't decide to suddenly go to Ohio just because the road to Colorado was backed up. You still commit to reaching Colorado!

WHAT TO CONSIDER AS YOU CRAFT YOUR PLAN

The five-year plan is just that: what you envision in five years. It's the destination for your firm's "road trip". We want you to consider your ideal lifestyle, target client base, and team structure (or lack thereof). Include revenue goals, client count, and any additional details to help complete the plan.

To crystallize this plan, you may find a dedicated visioning exercise helpful, or you might prefer journaling your thoughts. If you do your best thinking while moving, try taking a walk or a bike ride.

The goal is to define your destination with precision. Use this form to document the detailed results of your focused contemplation. For each question, fill in the blank: “In five years, _____”. These are fewer dreams and more concrete goals.

LET'S GET STARTED

STEP 1

Ask yourself, “In five years…”

…what’s your role at the firm?

…who is on your team?

…what kind of clients will you be serving? How are they different from your ideal client today?

…what experience are you providing your clients?

…are you growing at a certain rate? If so, where is your client growth coming from?

…what systems, processes, and technology are in place to make things run smoothly?

STEP 2

Define Success

Draw from the answers above to describe your definition of success. Put words to your vision of success in this five-year window. Remember that this is not forever, or the ultimate vision that you painted in your purpose statement work. This is five years from now, so it's fine to still be on the journey to that ultimate vision.

STEP 3

Define Measurables

Now it is time to "smartify" those goals. Translate your goals into a measurable data point. You are evolving from a vision to concrete measures of success.

We recommend you structure these, at a minimum, in terms of revenue, revenue per client, number of clients, and your lifestyle. You can add anything you wish as long as it is measurable and you have defined what constitutes completion five years from when you create your five-year plan.

How will you know you achieved success?

EXAMPLE FIVE-YEAR PLAN

STEP 1

Define Answers

  • What’s your role at the firm in five years?
    • I will be splitting my time between a select group of high-fee clients and being the visionary leader of the firm. I will mentor younger firm members and be active in the industry, helping other advisors find their way.
  • Who is on your team in five years?
    • I will have 2 additional senior planners as well as 2 associates, an intern, an office manager, and two CSAs.
  • What kind of clients will you be serving? How are they different from your ideal client today?
    • I will have 25 clients. Each senior planner will be serving 75-100 clients, with a plan to shift some of those clients to the associates as they are ready for the front seat.
    • The average fee will be $12,000. Clients will be folks with $1-5M.
  • What experience are you providing your clients?
    • Clients will meet once or twice a year, with monthly touchpoints as well as an annual meeting. Clients will feel part of a (functional) family, with the realization that they are clients of our firm and that anyone on the team will assist them to the extent they are able. We will provide full service planning, collaborating with other providers our clients use, including CPAs and EP attorneys.
  • Are you growing at a certain rate? If so, where is your client growth coming from?
    • We will be growing at a pace to add a new advisor and support teammate every two years. That should be a simple pace of about two new clients per month.
  • What systems, processes, and technology are in place to make things run smoothly?
    • We will have fully documented SOPs utilizing Wealthbox and Hubly, as well as Zapier as needed. AI integrations will be added as it makes sense for the firm. Cross-training will allow for better continuity planning.

STEP 2

Define Success

What does success feel like?

This five-year plan will be successful if the above have been reached or are on track, while maintaining a balance between work and life. No one on the team will work more than 35 hours per week, with ample time for four weeks of vacation and office closure the final week of the calendar year.

STEP 3

Define Measurables

Now it is time to "smartify" those goals. What will these goals mean in a measurable data point? How will you know you achieved success?  This can be anything from revenue to hours worked to clients served, but you are evolving to concrete measures of success.  We recommend you structure these, at a minimum, in terms of revenue, profit, and number of clients. But you can add anything you wish as long as it is measurable and you have defined what constitutes complete.

  • Date: 12/31/2031
  • Revenue: $2,250,000
  • Revenue per client: $12,500
  • # of Clients: 200
  • Lifestyle: 6 weeks of vacation per advisor per year,  3 weeks per other teammates per year.
  • NPS = 25+
  • Average Employee Engagement Rating = 8+
